We keep the personal details of people who contact our Help service.
These are used for reference during subsequent calls, and we also use them to create anonymous statistics about the number and type of calls we have received. These records are held for ten years after the last call received, and after that only anonymous statistical information is kept. This information is kept in an encrypted and pass-worded file and is accessible only from password-protected computers.
This information is never shared with anyone outside PRDA. Some of it is sensitive and given in confidence, and we will always respect that confidence.
We send marketing, fundraising and other information of interest to people who contact us only if and after they have specifically consented to receive these.

We keep the personal details of health professionals.
We keep a list of those health professionals whom we have contacted, and who have agreed that we can give their professional contact details to patients who might wish to be referred to them.
We do not share the list with anyone outside PRDA.
We send marketing, fundraising and other information of interest to health professionals on our list only if and after they have specifically consented to receive these.

We keep the personal details of people who support us financially.
We keep a list of our members and supporters. We may contact them concerning their existing membership or support.
We send marketing, fundraising and other information of interest to our members and supporters only if and after they have specifically consented to receive these.

We keep the personal details of people who are interested in hearing our News and other information that might be of interest (Marketing and Fundraising).
We send marketing, fundraising and other information of interest to people who have contacted us, medical professionals, and our supporters only if and after they have specifically consented to receive these.
The contact details of these people for this purpose are kept separate from the lists described above. These details are processed by a trusted third party processor, with password-protected access to PRDA workers only. They are never shared with any other organisation.
If another charity or health organisation asks us to help find people to participate in their activities, we will forward that request only to those people on our list who have indicated their consent to that type of communication.

Website visitor analysis
Our website uses Google Analytics to track how much it is used. We only generate summary reports to record traffic. We do not extract data relating to individual visitors, and we do not analyse information from cookies. We do not pass any of this information to any other party.

Data Security
All the information we hold is in password-protected files, which we access only through password-protected computers. We do not hold unnecessary copies of files.
We do not share any of our personal data with any other organisation, charity or company, with the exception of the Marketing and Fundraising information described above.

Data Retention
We keep personal information about people who have contacted us for 10 years, after which their information is anonymised and kept for analysis and reporting.
We keep information about our financial supporters for 7 years after they cease to support us.
We keep contact information of people who have given their consent to marketing, fundraising and other types of contact, until either they actively unsubscribe, or our data processor (Mailchimp) determines that their email is no longer active and cleans them from the list.
We keep contact information of medical and health professionals who provide services of relevant to our activities. We have a legitimate interest in holding this information, but work to make sure we only hold what is relevant, and in most cases we seek active consent.
